Manager roles and permissions

In vaibe, managers are assigned specific roles with distinct sets of permissions to control access to different sections of the system and maintain security. Employees, on the other hand, do not have assigned roles or permissions.

vaibe provides three default roles for managers: Super Manager, Manager and Read-Only Manager. Additionally, if you need more flexibility, you can create custom manager roles with specific permissions tailored to your needs.

In vaibe, you have the ability to:

  • Create, edit, delete and duplicate roles

  • See permissions for each role level

  • Manage permissions by role level

  • View the number of managers assigned to each role level

  • Assign managers to the appropriate role levels

It’s important to note that the three default roles are fixed, and their permissions cannot be modified. The following section will explain each role, from the highest level (most permissions) to the lowest (fewest permissions) and at the end how you can see the permissions of each role level.


Super Manager

The Super Manager holds the highest level of access and is entrusted with all functionalities within the system. This role allows full control over the platform, from creating and editing content to managing users and data. Specifically, the Super Manager can:

  • Create, delete and edit challenges

  • Add, edit and delete items in the store

  • View store purchase activity

  • Create, edit and delete users

  • Create, edit and delete teams

  • Read, create, edit and delete ranks

  • Create, edit and delete metrics and categories

  • Import, export and delete data imported

  • Configure public display settings

  • Create, edit and delete surveys

  • Create, edit and delete organizational sites

  • Create, edit and delete manager custom roles and permissions


Manager

The Manager role offers a middle ground in terms of permissions. While the manager has most of the capabilities of the Super Manager, there are some key restrictions. Specifically, a Manager:

  • Cannot delete data

  • Does not have access to ranks

  • Does not have access to the store

  • Cannot export data

  • Lacks access to surveys

  • Cannot configure the public display

  • Does not have access to confidential information (e.g., store purchase data)

  • No access to integrations

Despite these limitations, the Manager still has a broad range of permissions, including:

  • Create, edit and delete challenges

  • View the leaderboard

  • Create and edit users

  • Create, edit and delete teams

  • View metrics

  • Create, edit and delete categories

  • Import, delete and view data

  • View organizational sites

  • View role levels


Read-Only Manager

As the name suggests, a Read-Only Manager has the fewest permissions and is limited to viewing information without the ability to make any changes. This role is ideal for users who need to monitor activity without the risk of changing data. Specifically, a Read-Only Manager can:

  • Search for challenges

  • View the leaderboard

  • View ranks

  • View items in the store

  • View user information

  • Search for teams

  • View metrics

  • Search and view surveys

  • Search organizational sites

  • View role levels

This role is strictly for observation, with no ability to create, edit or delete any content within the platform.


Custom Manager Roles

In addition to these three predefined roles, you can create custom manager roles tailored to specific permissions. This allows you to define roles based on your organization's needs and assign them accordingly, ensuring the right level of access for each manager.

How to see the permissions for each role level?

In vaibe, after creating the role-levels for each of the managers you can check them any time you want.

For that, follow three important steps.

Step 1: Go to the "Settings" sections and choose "Role levels and permissions".

Step 2: Click on the "permissions button" of the role level you want to check the permissions (first button on the right side).

Step 3: A new window will appear with all the permissions of the role level you chose to see. Now you can check all the information you need to know about this role level. Click on the button "Close" to close this window.
